Notes:

  • We will check/book services when you confirm processing the itinerary we provided you. We can only keep services when you deposit/pay in advance for your tour, and only confirm serviced after suppliers received deposit from you.
  • Guest passport information should be sent immediately at the time of confirmation.
  • Special request (diet or vegetarian …) should be sent in 7 days before the tour starts.
  • For Seat in coach tour: Please be sure that you are available at meeting time and meeting point. If not, it is your responsible to meet the group and the tour guide/driver.

TERMS AND CONDITIONS

These Terms and Conditions (Conditions) apply to all Services provided by Sky Asia Travel. Please read these Conditions carefully.
By booking your travel arrangements (the “Service”) with Sky Asia Travel, you are agreeing to be bound by the terms of this agreement and any additional terms and conditions of any supplier that are applicable to your booking arrangements. The lead passenger assumes the responsibility of sharing these terms and conditions with each passenger in their group, including payment of all amounts when due. It is the responsibility of each passenger to read our terms and conditions in its entirety. In addition, we reserve the right to modify these Terms and Conditions at any time.

  1. General Conditions

(1.1) All prices confirmed by Sky Asia Travel are net, non – commissionable and are in US dollars or Vietnam Dong.
(1.2) All bookings, amendments and cancellations must be informed to us in writing by email or via our online system. Confirmations will likewise be sent out in writing by Sky Asia Travel within 24 hours of receipt of the written request. Bookings, amendments and cancellations will be dealt with during office hours, any correspondence made out with office hours will be dealt with when the office re-opens and will be deemed to be received at that time.
(1.3) Hotels/Theatre/Transfers/Entrances – on request (except where allocations have been agreed). Short term bookings will be confirmed by return (during our office opening hours) and are not to be considered confirmed until confirmed by us in writing and payment received within the terms detailed below.
(1.4) Blackout dates or red dates. These dates typically fall on major national holidays or events, supplements might applied on public holidays as Christmas Day, New Year eve, New Year’s Day, Lunar New Year period, Labor Days, National Day, National Festivals…
(1.5) All prices specified in the quotation are correct at the date of quotation. Any prices quoted for hotels, attractions and services may be subject to change and cannot be guaranteed until final confirmation of the booking. All bookings are subject to availability and cannot be guaranteed until final confirmation of the booking. It is the responsibility of the client to ensure that all information provided on which the quotation is based.

  1. Deposit

(2.1) FIT – An initial deposit of 20% is required at the time of booking.
(2.2) Leisure groups – An initial deposit of 20% is required at the time of booking.
(2.3) Incentive and MICE groups – An initial deposit of 50% is required at the time of booking.
(2.4) In some circumstances it may be necessary for us to request additional deposits due to the contracture requirements of our suppliers. Sky Asia Travel will advise you of the complete conditions attached to any deposits required at the time of confirmation.
(2.5) In the event of the non-payment of any requested deposit, we reserve the right to cancel the reservation.
(2.6) Note that if many extra services are booked after initial confirmation, Sky Asia Travel may require extra payments.
(2.7) Please note initial deposits are non-refundable

  1. Confirmation

Following the receipt of the initial deposit, the client will be furnished with a confirmation of the tour details. The client shall immediately notify in writing if any errors are noted. Sky Asia Travel shall not be responsible for any errors not so notified.
(3.1) Full payment must be received 30 days prior to the tour/programme commencement date unless credit facilities agreed.
(3.2) In the case of the non-payment by due date we reserve the right to cancel the reservation, and in such event all deposits received shall be non-refundable.
(3.3) In the case of billing errors we reserve the right to re-invoice the correct amount.
(3.4) Amendments: In the case of cancellation of individual participants which results in changes in number of passengers within the group, Sky Asia Travel might apply a charge.

  1. Payments

4.1. Payment by bank transfer

Tour payments should be by bank transfer into the following accounts.
Payment will have to be received in the currency of the invoice.

Bank charges are to be met at source and should not be forwarded to Sky Asia Travel. Should Sky Asia Travel incur bank charges when payment is received, Sky Asia Travel reserves the right to raise a subsequent invoice for these charges.

4.2. Payment by credit card

We accept payment from major credit and debit cards by Visa, MasterCard, JCB, UnionPay and American Express. Please note that it will incur an administration fee 3% at the time of card processing.

A Credit card payment link will be sent to your email for your secure payment.

Sky Asia Travel reserves the right to charge and invoice an additional 7% above Vietcombank base rates per month on any overdue amounts.
Sky Asia Travel accepts no liability for payments made to incorrect bank accounts or in the wrong currency and will charge for costs incurred in these instances.

  1. Cancellation Fees

(5.1) Sky Asia Travel will apply cancellation fees only if applied by suppliers. Sky Asia Travel will try to negotiate lower fees with suppliers on behalf of the client.
(5.2) In the case of an entire group cancellation less than 30 days prior to the Commencement Date cancellation fees could be up to 100% of the total cost.
(5.3) Should individual tour participants cancel services; they may be subject to a cancellation fee. Please note however that should a passenger cancellation result in the overall group size dropping into a higher price category, then additional cancellation charges may be levied over and above those quoted below.
(5.4) In the event of “No Show” of individual tour participants, Sky Asia Travel reserves the right to apply up to 100% cancellation fees.
(5.5) Please note individual services may have different terms and conditions. These will be notified at time of booking and any special terms and conditions will be advised.

Unless otherwise specified, these cancellation fees will be applicable (FIT is considered up to 10 passengers travelling and Group is over 10 passengers):

(5.1) FIT – cancellation is charged to the following schedule :
* Less than 15 days prior to arrival – 100% cancellation charge
(5.2) Leisure group cancellation of the entire group is charged to the following schedule:
* Less than 30 days prior to arrival – 100% cancellation charge
(5.3) Team building/Meeting/Incentive/Conference/Exhibition group cancellation is charged to the following schedule:
* Less than 60 days prior to arrival – 50% cancellation charge
* Less than 35 days prior to arrival – 100% cancellation charge

  1. Sky Asia Travel General Terms Of Booking

(6.1) Sky Asia Travel will issue a unique reference number with each confirmation. This reference number is to be quoted with the subsequent remittance. Any disputes regarding invoiced amounts must be brought to the attention of Sky Asia Travel within 14 days.
Underpayments without prior agreement will not be accepted.

(6.2) In the event of a dispute we should be informed immediately so we can rectify the matter to all our satisfaction. No Financial adjustment will be made unless we receive the initial complaint within 14 days of clients’ departure.

(6.3) Office hours – Sky Asia Travel operates 9.00 hrs to 17.00 hrs – Monday to Friday. We are closed Saturday and Sunday and Vietnamese/Indochina holidays.

(6.4) Liability – Sky Asia Travel in its capacity as an agent for transport companies, hotels and other suppliers may not be held responsible in any way for any injury, damage, loss, delay, change of schedule, change of hotel or any other irregularities, caused by such suppliers. No Liability can be accepted for loss of luggage or personal injury. Furthermore, no liability can be accepted arising from insolvency or bankruptcy of any transport companies, hotels and other suppliers. No liability can be accepted for acts of terrorism, pollution, contamination or hazardous materials (eg asbestos), natural disaster, or for delays or cancellations incurred as a result. Furthermore, Sky Asia Travel will in no event be liable for any loss of profit due to or arising from the negligence of this company or their servants, agents or sub-contractors. Any booking made with Sky Asia Travel assumes acceptance of these terms and conditions. In the event of breach of contract owing to unforeseeable events, for example, strikes by airlines or cancellation of services due to volcanic ash, Sky Asia Travel retains its right to charge in full for all services it cannot reclaim money for. Contracts are subject to Vietnamese jurisdiction.

(6.5) VAT is based on the level currently in Vietnam. Should the rates change Sky Asia Travel reserve the right to alter rates accordingly.

(6.6) Proper Law – Any agreement made by us shall be governed and interpreted in all respects in accordance with the Vietnamese Law of bookings. Sky Asia Travel operates within all clauses as specified in the Asia package travel directive.

(6.7) Gratuities are not included to the driver, tour guide, coach, and event staffs.

(6.8) Any services added while the group is travelling will have to be paid to Sky Asia Travel by Credit or Debit card, as soon as confirmed.

(6.9) Proprietary Rights
The concepts, treatments and production techniques detailed in this proposal remain the exclusive property of the Tour Operator until such time we are contracted to execute them. They may not be developed or produced by any other parties without the express written consent of the Tour Operator. Unauthorised use of the attached material, including, but not limited to, the solicitation of other bids, will be considered breach of propriety, under which this proposal has been developed and submitted.

  1. Insurance

Travel insurance and medical precautions are essential. We do not give specific advice on these matters as we are expert in neither, and individual circumstances differ.

We advise you to tell us the name of the company and its contact details so that we can give notification on your behalf if you are unable to do so in the unlikely event of an accident occurring.

If you are intending to engage in any activity that could be considered ‘hazardous’ in any way, you should check your insurance carefully to make sure that you will be covered in the case of an accident.

  1. Medical precautions

You should ensure that you are fully up to date with vaccinations required for Vietnam.

If your itinerary means you may be involved in strenuous activities, such as cycling, trekking, etc., you should check with your medical practitioner if you are in any doubts about your fitness to do so.

If you are prone to recurring illnesses, allergies or have any other disabilities or health problems relevant to your holiday, you should inform us well in advance. The same applies to specific dietary requirements, either for medical or religious reasons.
